Use case — animal welfare
Bookkeeping for animal rescues & shelters
Rescue money is high-volume and high-emotion. Hundreds of small donations arrive through every channel supporters can find — processors, giving platforms, event nights, the occasional envelope of cash. Meanwhile vet bills pile up, fosters need reimbursing, and the emergency fund you raised for one specific animal has to be spent on exactly that animal.
Rationara keeps up with the volume so you don't have to. Bank and processor activity flows in daily, our bookkeepers categorize every deposit and vet bill, receipts attach to their transactions, and restricted appeals are tracked as funds on the ledger — so you always know what came in, what it was for, and what's left.
What makes these books different
Donations from everywhere
PayPal, card processors, giving platforms, event nights, cash — each with its own payout schedule and fees, all needing to tie back to the bank.
Vet bills and foster reimbursements
The biggest expense category arrives as a stack of invoices and reimbursement requests, and every one needs documentation behind it.
Emergency appeals are restricted money
Funds raised for one animal's surgery are donor-restricted. Spending them on rent — even accidentally — is the kind of mistake that ends up on social media.
In-kind gifts go unrecorded
Food, supplies, and donated services keep the doors open but never make it into the books, understating what it really costs to run the rescue.
How Rationara handles it
- Every channel reconciledBank feeds pull activity daily; processor payouts are matched to their gross donations and fees so platform money ties out to the penny.
- A receipt inbox that keeps upForward vet invoices and foster receipts by email. We read them, match them to the bank transactions, and attach them to the entry.
- Appeals tracked as fundsEach named appeal or medical fund lives on the ledger with its own balance, and spending against it is recorded as it happens.
- In-kind gifts on the booksDocumented in-kind donations are recorded with their paperwork attached, so your reports — and your auditor — see the whole picture.
The mechanics behind all of this — funds, grants, classes, the monthly close — are on What we handle and How it works.
What your board sees
Your board sees program spending separated from admin, the balance of every active appeal, and a monthly close that actually closes. When a foundation asks how last year's spay-and-neuter grant was spent, the report already exists.
Common questions
- We fundraise on four different platforms. Is that a problem?
- No — it's normal. Each platform's payouts are reconciled against its gross donations and fees, so nothing is double-counted and nothing disappears into 'miscellaneous income'. You see what each channel actually raised.
- Can we track spending for a specific animal or program?
- Yes. Program classes handle ongoing programs (adoption, TNR, medical), and restricted funds handle named appeals. Both roll up into reports your board and donors can follow.
- How do you handle donated supplies and services?
- In-kind gifts you document get recorded with the documentation attached to the entry. Valuation policy stays yours (with your accountant's guidance where needed) — our job is making sure the gift and its paperwork are on the ledger.
