Use case — HBAs & builder groups

Bookkeeping for home builders associations

A local HBA runs on a few big moving parts: dues from builder and associate members, signature events like the Parade of Homes and the golf outing, councils with their own budgets, and a slice of every dues dollar owed onward to the state and national association.

Rationara gives each part its own place in the books. Events carry classes so the Parade has a real P&L, councils spend against visible budgets, dues are categorized by member type with pass-through remittances kept out of your revenue, and the monthly close keeps the board meeting about decisions instead of arithmetic.

What makes these books different

  • The Parade of Homes is a business of its own

Ticket sales, sponsor packages, signage, insurance, and vendor costs — spread over months, often across two fiscal years — and the board wants one number: what did it net?

  • Councils each spend a budget

Remodelers, Professional Women in Building, young professionals — each council commits funds, and each expects to know where it stands mid-year.

  • Dues aren't all yours

A portion of every membership is remitted to the state and national association. Booked carelessly, it inflates revenue and hides your real dues income.

  • Sponsors commit early, pay late

Sponsorship commitments made in January pay out across the year, and somebody has to know what's still outstanding before the event bills come due.

How Rationara handles it

  • A class for every event
Parade of Homes, golf outing, awards banquet — each gets its own class, so every event has a running P&L and a clean post-event recap.
  • Councils with visible budgets
Classes per council turn approved budgets into monthly budget-vs-actual, so council chairs stop guessing what they have left.
  • Remittances kept out of revenue
State and national portions of dues are recorded as pass-throughs, not income, so your dues line shows what your HBA actually keeps.
  • Sponsor commitments tracked to cash
Commitments are tracked from pledge to payment and deposits reconciled to the bank, so outstanding sponsor balances are visible at every close.

The mechanics behind all of this — funds, grants, classes, the monthly close — are on What we handle and How it works.

What your board sees

The board sees each event's true result, each council's spending against budget, and dues by member type — monthly, as of a locked period. When the Parade committee asks how this year compared to last, both answers come from the same closed books.

Common questions

Our Parade of Homes spans two fiscal years. How does that work?
Transactions carry the event's class whenever they post, so the Parade's P&L assembles across fiscal years automatically. On the Core plan's accrual books, deposits and prepaid costs land in the right period too.
How do you handle the dues we remit to state and national?
As pass-throughs: the portion owed onward is recorded as a liability when dues arrive and cleared when you remit, so your revenue reflects only what your HBA keeps. Your reports stop overstating dues income.
We're volunteer-run between one or two staff. Is this too much process?
It's the opposite — the process runs on our side. Your part is answering an occasional question in the portal; the categorizing, reconciling, and closing is ours. Small HBAs start on Essential from $100/month.
